Item: General Area

In the General area, you provide and maintain general information that is applicable to all types of item.
 
The General area comprises the following fields:
 

Field

Used for

Name

Provide a name for an item.

  • It is a required field. If you do not provide a name for the item, you will not be able to save the item. 

Product code

Enter a stock keeping unit of the item which is an identification number assigned to the item.  

Vendor product code

Enter a stock keeping unit of the item which is an identification number assigned to the item by the vendor.

Type

Select one of the item types that are predefined by application developers and cannot be modified or customized without introducing changes to the source code.

You have to select a specific item type for all newly created items because item types define the content of an item together with item management peculiarities and determine how Codejig ERP will keep record of them in the system journals.

  • It is a required field. If you do not select an item type, you will not be able to save the item. 

Note: Once you have selected an item type for the item, you cannot change it if certain inventory or accounting transactions have been created for this item.

The following item types exist:

  • Inventory are tangible items you can sell to a customer, purchase from a vendor, assemble yourself or store in a warehouse.They are kept in stock and are used in inventory transactions. Also, inventory items are subject to inventory management and quantitative accounting.
  • Fixed asset - a non-current tangible or intangible asset that a company owns and uses in the production of its income and is not expected to be consumed or converted into cash within 12 months. For example, buildings, real estate, furniture and software are considered fixed assets. When a new fixed asset is purchased or obtained through other means, it is originally recorded as an inventory item in the system. Fixed assets are subject to inventory management and quantitative accounting until you recognize them as fixed assets. To recognize an inventory item as a fixed asset, it is necessary to create a recognition document for the item where all parameters required for the fixed asset will be defined. After that fixed assets become subject to fixed assets management and will be proportionally charged to expense over the period of their useful life based on the selected depreciation method. For more information, go to Fixed Assets. Otherwise, the item will be treated as an inventory item by Codejig ERP.
  • Non-inventory - a tangible item which is not used in inventory management and is not subject to quantitative accounting. Normally, office supplies, such as paper and stationery, are considered non-inventory items. Non-inventory-items are not stored in a warehouse and are tracked as a current cost affecting Profit and Loss statement when they are purchased.
  • Service - a service you render or receive. Purchased services are charged to expense or are attributed to the cost of other items (goods, fixed assets and so on) being added to them as additional expenses or they are classified as expenses on the production of other goods (or services) once such services are purchased. When services are sold, they are recognized as an income. Services are not kept in stock, thus no inventory transactions are performed for them.

Base unit

Select a default unit of measurement for the item whether it is a piece, a kilogram or a liter, etc. from the list of pre-set units of measurement.

  • It is a required field. If you do not select a base unit, you will not be able to save the item.
  • You cannot change the selected base unit of measurement for the item if certain inventory or accounting transactions have been created for the item.

Use several units of measurement

Turn on this option to be able to display item quantity in measurement units other than the base unit of measurement. If this option is turned on, several units of measurement can be used to display item quantity in sales, purchase and inventory documents. However, all inventory and accounting transactions will use the base unit of measurement into which the selected alternative unit will be converted according to the specified conversion ratio. If you want inventory or accounting transactions to use other measurement units, you have to create a new item and assign a different base unit of measurement to it. 

If you turn on this option, the field Set of measurement units will appear on the form.

Set of measurement units

Select a set of measurement units for the item. All units of measurement from the set can be used to display item quantity in sales, purchase and inventory documents. All measurement units from the set relate to the selected base unit of measurement according to the specified conversion ratio.

  • You can select only those sets whose base units coincide with the base unit of measurement selected for the item.

Description

Enter a description of the item.

Sales price

Sales price of the item. It is retrieved from the most recent price list. 

  • Sales price is provided for informational purposes only. You cannot change it or set a different price manually.

Upload an image of the item.

Number

Item number is assigned automatically when you save the newly created item based on the selected numerator.

Users with the appropriate permissions can override the auto-generated number and enter it manually.

After overriding the item serial number, automated numbering will proceed in the same manner but using the manually set number as a start value.

Note

Add any extra details regarding the item if needed.

Inactive 

Turn on the Inactive option if you want to deactivate a previously active item.

If an item is inactive, it will not be available for selection or use and will be accessible only on the listing page of the Inventory directory.  

By default, this option is turned off and all newly created items are active. You can select active items from the lists for the Item field in various documents and directories.
