Export Invoices: Invoices Tab

Invoices to be converted into e-invoices are listed under this tab together with the key invoice details. 

E-invoices that are generated based on them are also displayed under this tab. Invoices to be converted to e-invoices are added as line items. Line item is a line structure that contains an item and item details. 

Generated e-invoices are added as values in the File field within the line item representing the invoice based on which the e-invoice has been generated.

Invoices to be converted can be added on click of the Fill data button. The system will retrieve and add invoices with a date between the specified date range. However, you can delete any of them from the list if needed.

Status

An invoice status. There are four invoice statuses:

  • New - invoices that have not been converted to e-invoices yet.

This status is assigned to all added to be converted invoices automatically when you click the Fill data button.

To convert added invoices into e-invoices, click the Create files button.

  • Exported - invoices that have been converted to e-invoices and sent to the forwarding service.

If you use the Apix integration, invoice statuses will be automatically changed to Exported once you send the generated e-invoices to the Apix service by clicking the Send to provider button.

If you use any other forwarding services, invoice statuses will not be changed automatically and you have to manually change them.

  • Confirmed - invoices that have passed the validation.

If you use the Apix integration, invoice statuses will be automatically changed to Confirmed (if an e-invoice has passed validation) after e-invoices have been checked and validated by Apix.

If you use any other forwarding services, invoice statuses will not be changed automatically and you have to manually change them.

  • Rejected - invoices that have not passed the validation.

If you use the Apix integration, invoice statuses will be automatically changed to Rejected (if an e-invoice has not passed validation)  after e-invoices have been checked by Apix.

If you use any other forwarding services, invoice statuses will not be changed automatically and you have to manually change them.

If validation has failed, you have to correct errors in the invoices that did not pass the validation.

Document

An invoice to be converted to the e-invoice.

Date

Invoice date.

  • Date is provided automatically for informational purposes only and you cannot override it.

Company

A receiver of the invoice. A customer for whom the invoice has been issued.

  • Company is provided automatically for informational purposes only and you cannot override it.

Currency

Invoice currency.

  • Currency is provided automatically for informational purposes only and you cannot override it.

Amount

Invoice amount in the specified invoice currency.

  • Amount is provided automatically for informational purposes only and you cannot override it.

XML file

An e-invoice in the XML format generated based on the selected invoice.

To convert the invoice into an e-invoice, select an e-invoicing or EDI standard in the Type field, and then click the Create files button.

To download the XML file to your device, click the file name.

PDF file

The invoice in the PDF format.

The PDF file is generated alongside the XML file on click of the Create files button.

To download the PDF file to your device, click the file name.

Zip file

The invoice in the Zip format.

The Zip file is generated on click of the Send to provider button.

To download the Zip file to your device, click the file name.

Exported invoice info

On clicking the link you will be redirected to the Invoices to customer page where information about the invoices that have already been exported and confirmed is displayed.
