Transaction Journal Report: Default Grouping

Grouping by Rows

 

In the basic Transaction Journal report, the data is grouped by Date, hierarchically split into levels of the year, month and day, and an identifier – specific number of the individual transaction.


By default, higher-level grouping is enabled for grouping to organize transactions by major categories, subcategories and groups according to the structure of date instead of just presenting transactions in the form of a list.

As a result, a multi-level hierarchy is formed with links between levels being of the parent-child type. Levels of the report hierarchy:

  1. Date (year)
  2. Date (month)
  3. Date (day)
  4. Transactions by numbers

 

Particular transactions are displayed at the lowest level of the basic report.


To see sublevel details in the generated report, you have to drill down to lower levels.

The default grouping settings are defined in the rows section of the basic Transaction journal report. To define the groupings, the fields have been added by which data in the report has to be grouped by rows. However, you can change the pre-defined settings and choose how to group data by yourself.

To do that:

  1. On the page for configuring report parameters, click the Customize button.
  2. In the rows section, view and customize the default groupings as follows:
    • To add fields for grouping, click the Select an option box, and then select a field by which you want to group data from the list of options.


The list displays fields from the selected report type which you can use to group data y rows.

    • To remove fields, click the cross icon next to the field you wish to remove.

 

Fields available for grouping:

Field

Used for grouping by

identifier

Number of a particular transaction in the system.

Date

Date of transaction; might be specified as a year, month, day etc. (See options in the drop-down list)

Account

Bookkeeping account that particular transaction belongs to.

Currency

Currency of transaction.

Type of analytics

Specific instance that additionally explains the subject of the Account

Currency amount Dt

Debit amount of transaction in currency different than your system currency

Currency amount Ct

Credit amount of transaction in currency different than your system currency

Amount Dt

Debit amount of transaction

Amount Ct

Credit amount of transaction

 

Grouping by Columns

 

In the basic Transaction journal report, no default grouping by columns is specified. However, you can define your own groupings, if necessary.


To do that, you use the columns section of the report, where you can choose how to group data by yourself as in case of the groupings by rows. You do that as follows:

  1. On the page for configuring report parameters, click the Customize button.
  2. Use the columns section to view and customize the default groupings.


As with groupings by rows, in the columns section, you add fields by which you want to group data. The set of fields available for grouping data by columns is the same as for grouping data by rows.
