Company: General Area

In the General area, you provide and maintain general information that is applicable to all types of companies
 
The General area comprises the following fields:
 

Field

Used for

Name

Provide a name for a company.

  • It is a required field. If you do not provide a name for the company, you will not be able to save the company.

Registration number

Enter a number of legal registration of the company which is an identification number assigned to the company.

Default currency

Set a default currency for the company that will be used in operations with the given company and will be automatically suggested for use in various documents. Still, you can use any other currency for settlements with the company by manually setting an appropriate currency in documents.

  • It is an optional field. If you do not choose a certain currency for the company, the default currency of your organization will be automatically suggested as a currency of the given company in various accounting documents.

Customer

Turn on the Customer option if the company is your customer. A customer is a company or an individual to whom you sell your goods or services.

  • Only companies of the Customer type can act as business partners in the sales process initiated by your company and can be selected as customers in sales documents (they will be available for selection in the drop-down list of the field Customer).
  • To record transactions with companies of the type Customer, choose an account of the type Customer in the chart of accounts. This will enable you to distinguish between operations carried out with companies in roles of Customer, Vendor and Other. Also, under the Accounting tab, you can set typical terms of partnership with your customers to simplify the subsequent creation of sales documents through the autocompletion of certain customer details.
  • You cannot change the company type from Customer to any other type if the company has been used in certain transactions in a role of a customer. However, you can additionally select other company types for the company at any time.
  • The company may perform multiple roles at the same time. For example, setting the Customer type does not forbid you to set additional roles for the company, such as Vendor or Other.

Overdue amount

The field displays the total amount of delayed payments from the customer. Payment is considered delayed if it has not been made before the due date stated in the issued invoice.

The field appears when the Customer type is chosen for the company.

The amount in this field is displayed for informational purposes only and might be represented in the *.pdf or printed invoice.

Vendor

Turn on the Vendor option if the company is your vendor. A vendor is a company or an individual that sells you goods or render services for you.

  • Only companies of the Vendor type can act as business partners in the purchase process and can be selected as vendors in purchase documents (they will be available for selection in the drop-down list of the field Vendor).
  • To record transactions with companies of the type Vendor, choose an account of the type Vendor in the chart of accounts. This will enable you to distinguish between the operations carried out with companies in roles of Customer, Vendor and other. Also, under the Accounting tab, you can set typical terms of partnership with your vendors to simplify the subsequent creation of purchase documents through the autocompletion of certain vendor details.
  • You cannot change the company type from Vendor to any other type if the company has been used in certain transactions in a role of a vendor. However, you can additionally select other company types for the company at any time.
  • The company may perform multiple roles at the same time. For example, setting the Vendor option does not forbid you to set additional roles for the company, such as Customer or Other.

Institution

Turn on the Institution option if the company performs a role of such institution as a bank, a customs agency or a tax agency.

  • You cannot change the company type from Institution to any other type if the company has been used in certain transactions in a role of a bank, customs agency or tax agency. However, you can additionally select other company types for the company at any time.
  • The company may perform multiple roles at the same time. For example, setting the Institution option does not forbid you to set additional roles for the company, such as Customer, Vendor or Other.

Institution type

The field appears when you select the Institution type for the company.

Select one of the institution company types that are predefined by application developers and cannot be modified or customized without introducing changes to the source code. Depending on the chosen institution type, the company will be able to take part in specific operations.

The following institution types exist:

  • A bank is an institution where bank accounts of your company or of your business partners may be opened./ that acts as an intermediary in financial transactions between your company and your business partners. 
  • A tax agency is an institution with which your company is registered for VAT. Companies of the type Tax agency may be chosen as receivers of tax payments in banking and VAT documents.
  • A customs agency is an institution to which your company pays customs duties for import or export of goods. Companies of the type Customs agency may be chosen as receivers of custom duty payments in banking and import documents.
  • You cannot change the selected institution type of the company if certain banking or tax transactions have been created for the company.
  • It is a required field. If Institution type is set and you do not select the particular type of it, you will not be able to save the company.

Other

Turn on the Other option if the company does not perform any special role in business transactions with your company, such as a customer, a vendor, a bank, a tax agency or a customs agency.

  • Сompanies of the type Other can participate in operations involving the accrual of other receivables from or payables of the company, such as fees, loan interests, etc.
  • When creating a new company, the Other option will be automatically turned on. You can select any other available type instead.

Company number (#) is assigned automatically when you save the newly created company based on the selected numerator.

Users with the appropriate permissions can override the auto-generated number and enter it manually.

After overriding the company serial number, automated numbering will proceed in the same manner but using the manually set number as a start value.

Note

Add any extra details regarding the company if needed.

Inactive

Turn on the Inactive option if you want to deactivate a previously active company.

If a company is inactive, it will not be available for selection or use and will be accessible only on the listing page of the CRM directory.

By default, this option is turned off and all newly created companies are active. You can select active companies from the lists for the Company field in various documents and directories.
