Fixed Asset Balance Report: Default Grouping

Grouping by Rows

By default Fixed asset balance report is built in rows based on assets and inventory numbers. In order for the report to show you any data, you may select the following parameters in the Select an option box (in any desired combination):

  • Asset – name of the general asset group in the system, for example, Computers, Exhibition equipment etc.
  • Inventory number – unique number of the asset in the system

For more details on grouping data in reports, see Grouping Report Data.

Based on the default report settings you may customize the view of your report by adding or removing fields in rows.

To do customize the grouping approach:

  1. On the page for configuring report parameters, click the Customize button.
  2. In the rows section, view and customize the default groupings as follows:
    • To add fields for grouping, click the Select an option box, and then select a field by which you want to group data from the list of options.

The list displays fields from the selected report type which you can use to group data y rows.

    • To remove fields, click the cross icon next to the field you wish to remove.

In case you choose more than one grouping parameter, the system will group assets hierarchically, making a primarily chosen parameter a higher level, e.g. if you will firstly choose Inventory number and then Asset, the summarized data will be broken down into groups according to inventory numbers, and than into respective assets and vise versa. The suggested groupings form a two-level hierarchy presented in the form of a tree structure with links between levels being of the parent-child type.

Grouping by Columns

By default Fixed asset balance report has no grouping by columns specified. However, you can define your own groupings, if necessary.

To do that, you use the columns section of the report, where you can choose how to group data by yourself as in case of the groupings by rows. You do that as follows:

  1. On the page for configuring report parameters, click the Customize button.
  2. Use the columns section to view and customize the default groupings.

As with groupings by rows, in the columns section, you add fields by which you want to group data. The set of fields available for grouping data by columns is the same as for grouping data by rows.
